General Questions About Casework

Why do I need to submit a written request?
It is first necessary to have a written letter describing the situation with which you need assistance. This letter helps our caseworkers have a clear understanding of your situation and allows for a proper review to see if my office can be of assistance. In addition, we must have a signature to move forward with your request.


What should I include in my written request for assistance?
Your written request should include the following information:

  • A detailed description of the problem you are experiencing.
  • A description of any and all action you have taken thus far to try and remedy the problem.
  • What you see as the favorable outcome.
  • How you see the role of my office in helping to achieve this favorable outcome.
  • Have you contacted us before? When? Why?
  • All of your contact information and signature.

Does my letter need to be addressed to a specific person?

Why do you need the signed Privacy Act Release?
Due to the provisions of the Privacy Act of 1974, all federal government agencies and departments are strictly prohibited from releasing information about anyone without that individual’s written permission.


How long does it take to hear back from a federal agency?
Please allow 30 days for a response from the federal agency.  This is just a guideline and may vary for each individual case.
